Privacy Policy
Last updated: October 20, 2026
RondaLog is an internal recruiting and scheduling tool operated by Scale AI for its teams, including Outlier. It helps those teams contact candidates, review applications and schedule interviews. This Privacy Policy explains what information RondaLog processes, why, and the choices available to you.
1. Who this policy applies to
- Team members — employees and contractors who are granted access by an administrator and sign in with their company Google account.
- Candidates and guests — people invited by a team to apply for a role or to book a meeting. Candidates and guests do not create an account.
2. Information we collect
Team members
- Name and work email address, provided through Google sign-in.
- Role and access permissions within RondaLog.
- Working hours, time zone and language preference.
Candidates and guests
- Contact details provided by the team that invited you, such as your name and email address.
- The answers you submit in an application and any documents you upload, such as a résumé.
- Meeting bookings you make, including the selected time.
- The status of your application in the hiring process and the results recorded by the team, such as interview outcomes and decisions.
- A record of the emails RondaLog sent you (for example, date and subject).
3. Information from Google
RondaLog requests only the Google permissions needed for its features:
- Sign-in — your name, email address and account verification status, to confirm your identity and access.
- Calendar availability (team members who connect a calendar) — the times you are busy, so meetings are only offered when you are available. RondaLog does not read the titles, descriptions or attendees of your events.
- Calendar events (team members who connect a calendar) — to create the meetings assigned to you, with a Google Meet link, and to cancel them when a booking is cancelled.
- Sending email (designated team mailboxes only) — to send recruiting emails on the team's behalf. RondaLog cannot read these mailboxes.
4. Information from Airtable
Teams that keep their candidates in Airtable can connect an Airtable account to RondaLog. When they do:
- The team member connecting chooses, in Airtable's own screen, which bases RondaLog can access. RondaLog cannot see any other base.
- Reading — when a campaign is created, RondaLog reads only the records of the view and only the columns the team member selects (for example, name and email), to invite those candidates.
- Writing — RondaLog updates only its own fields on the records it imported (RondaLog Campaign, Stage, Result, Interview, Updated At, Link and Feedback), to show each candidate's progress and the interviewers' feedback. The link opens the candidate's page in RondaLog, which only signed-in team members can see. It does not create, delete or change any other record or field.
- The connection's credentials are stored encrypted and are never shown in the browser. The team can disconnect it at any time in RondaLog or from the Integrations section of their Airtable account.
5. How we use information
We use information only to operate RondaLog, namely to:
- authenticate team members and manage their access;
- send invitations, reminders and updates to candidates and guests;
- review applications and record the progress of each candidate;
- find available times, assign meetings and create the corresponding calendar events;
- keep the service secure and maintain a record of significant actions.
We do not sell personal information, use it for advertising, or use it to train artificial intelligence or machine learning models.
6. Google API Services User Data Policy
RondaLog's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
7. How information is shared
- Within the hiring team: application information is available only to the team members responsible for that recruiting process; interviewers see the information relevant to the interview they conduct.
- Meeting participants: when a meeting is booked, the participants receive the calendar invitation with its time and video link.
- Service providers: trusted providers host the application and its database on our behalf, under confidentiality and security obligations.
- Legal reasons: when required by law or to protect the rights, safety or security of people or of the service.
We do not share Google user data with third parties for any other purpose.
8. Retention
We keep recruiting information while it's useful: for the process it was collected for, so the team can consider candidates for future opportunities, and for legitimate business, legal and security purposes. Candidates can ask at any time to see, correct or delete their information, as described in "Your choices" below. Team members' calendar connections are removed when they disconnect them or lose access.
9. Security
We use industry-standard administrative, technical and organizational measures to protect information, including encryption in transit and at rest for sensitive credentials, access limited to authorized team members, and monitoring of significant actions. No system is completely secure, but we work to protect your information and to respond promptly to any issue.
10. Your choices
- You can ask to access, correct or delete your information, or ask not to receive further emails from a recruiting process, by contacting us at the address below.
- Team members can disconnect their calendar at any time in RondaLog or from their Google Account permissions.
- Admins can disconnect Airtable at any time in RondaLog's Settings or from their Airtable account.
11. Cookies
RondaLog uses only essential cookies, to keep team members signed in, to secure the sign-in process and to remember language preferences. We do not use advertising or analytics cookies.
12. Changes to this policy
We may update this policy from time to time. The "Last updated" date above shows when it was last revised.
